Athletic is a K-12 athletic program operations platform: academic eligibility that reads from the real posted grade record (never a manually entered number), roster management with the consent substrate governing every player’s data and participation, the schedule engine carrying games and practices, and game-day operations — photo, media, and gate — on one screen. Built on the Homeroom platform, which means eligibility, consent, and student data share one consistent record with the rest of the school.
Athletic is being built on the Homeroom platform. It is not yet generally available. This page describes what the athletic operations platform is and where it is going — the honest next step is to ask about early access.
What Athletic is
Running a K-12 athletic program requires managing more moving pieces than most people outside athletics realize. Academic eligibility has to be checked before a student competes — and that check only means something if it reads from the real grade record, not a number a coach entered by hand. Rosters have to track which students are cleared to participate, what their emergency contacts and medical information are, and what consent the school has for each student’s data, photographs, and media. Schedules have to account for facilities, officials, and transport. And on game day, the photo, media, gate, and concession operations all need to happen without the athletic director having to coordinate them from four separate systems.
Athletic is the platform that ties these together. Eligibility reads from the same grade and attendance record the rest of the school uses — when a student’s grade record changes, eligibility reflects it immediately, without a coach re-entering a GPA. Rosters are governed by the consent substrate: every student’s participation consent, photo consent, and data consent are machine-readable records that the platform enforces at the data layer, not a paper form in a filing cabinet. The schedule engine carries games, practices, and facility bookings with the same scheduling primitives the rest of the school’s calendar uses.
Athletic is in active development on the Homeroom platform. What is described on this page is the platform’s design and the direction it is being built — not a claim that every module is running today. The honest summary: eligibility and consent-governed rosters are built, the schedule and game-day modules are early access, gate and concession are honest-off, and student data is private by architecture. Early access is how a program gets in first.
From a grade posted to cleared to play
Eligibility is a workflow, not a spreadsheet check. Athletic runs it end to end on one record: a grade posts, eligibility recomputes against your configured floor, participation clearance folds in the physical, consent, and emergency contact, and the coach sees who is cleared — never the grade behind it.

A grade is posted
A teacher posts a grade and the registrar closes the marking period in the school’s real grade record — the same record the rest of the school reads. Nothing is re-keyed into a separate athletic database, and no coach types a GPA into a form. The posted grade record is the single source the eligibility check will read.

Eligibility recomputes
The next time the check runs, Athletic recomputes each athlete’s standing against the floor configured for that program — minimum GPA, minimum credits, and the absence limit your state or conference sets. The result is a computed status, not a judgement call: eligible, at-risk, or ineligible, with the exact rule that produced it visible to the athletic director.

Clearance updates
Eligibility is only one of four checks that make an athlete cleared to play. Athletic folds it together with a physical on file and inside its date window, a complete set of consent records, and a verified emergency contact. If any one of the four lapses, participation clearance reflects it immediately — no one has to remember to flip a switch.

Cleared to play
The coach opens this week’s roster and sees who is cleared, without ever seeing the academic record behind an ineligibility. The PII boundary is enforced by construction: the clearance reaches the coach; the grade that produced it does not. From a grade posted to a student cleared to play, the path is one record, computed, and auditable.

Reads from the real grade record
Academic eligibility is computed from the same grade record the registrar and teachers post to. There is no separate GPA entry field for coaches to fill in. A grade that changes in the grade record changes the eligibility computation the next time it runs — without a coach, an athletic director, or a registrar manually updating a separate database.
Configurable floors and standard tiers
Eligibility rules vary by state and conference. Athletic stores the threshold configuration (minimum GPA, minimum credits, absence limits) per program and computes compliance deterministically. A student is eligible, ineligible, or at-risk — the status is computed, not judged, and the athletic director can see the rule that produced each status.
Eligibility windows by sport and season
A student’s eligibility is checked against the window relevant to the sport season: a fall sport checks the prior semester, a spring sport checks the fall. The window is configured per program; the check runs at the right time without manual scheduling.
Ineligibility notice without PII disclosure
When a student becomes ineligible, the athletic director is notified and the student’s coach is told the student cannot compete this week. The coach is not told the reason (which is an academic record the coach has no right to see). The platform enforces the PII boundary by construction: the notice reaches the coach without carrying the grade data.
At-risk early warning
A student whose grade is above the threshold but within a configurable at-risk band gets an early-warning flag so the athletic director and counselor can intervene before the student becomes ineligible. The at-risk flag is visible to the people who can act on it; it does not surface publicly.
Eligibility history and audit log
Every eligibility determination is logged with the grade data snapshot and the rule applied at the time of the check. A student who was eligible last week and ineligible this week has a complete audit trail showing exactly what changed and when. The log is the athletic director’s record in any dispute about a student’s status.
A stamped verdict, not a live ruling
Every determination is stamped with a SHA-256 hash of the grade snapshot and the rule version that produced it — evidence an athletic director can hand to a parent or a conference office without re-running the check by hand. The status itself is three-valued: eligible, ineligible, or indeterminate. Where a state or conference association’s eligibility rule has not yet been confirmed in Athletic’s rule library, the determination holds at indeterminate (rule_unconfirmed) rather than guessing. Athletic does not issue a live eligibility ruling on an unconfirmed rule; indeterminate means a rule needs a person to confirm it, not that software decided an athlete’s standing on its own.
Rosters and consent
Every student on a roster is governed by a machine-readable consent record that the platform enforces at the data layer. Participation clearance is a computed result, not a manually set field.

Emergency contact information, allergy and medication records, and insurance verification are held per student on the roster. Medical visibility is governed by the consent substrate: the team physician sees the medical record the family authorized; the coach sees only the emergency contact and the participation clearance. No coach has access to a student’s full medical record by design.
A student is participation-cleared when their eligibility check is current, their physical is on file and within the date window, their consent forms are complete, and their emergency contact is verified. The clearance status is a computed result of those four checks, not a field an athletic director sets manually. If any check lapses, the clearance status reflects it immediately.
A student who plays multiple sports has one roster record, not one per sport. Their eligibility, consent, and medical information are shared across the sports they play — a medical update does not need to be entered once per sport. A transfer student’s eligibility window is correctly computed from the transfer date, not re-set as if they were a new student.
Physical and medical form lifecycle
A physical on file inside its date window is already one of the four checks behind participation clearance. What is being built next, in early access, is the lifecycle around it: expiry that drops clearance automatically, and a physician-specific signature lane alongside the family acknowledgment.
A physical, tracked and dated
A physical exam is recorded against the roster with its date, and participation clearance already checks that the physical falls inside its date window — that part of clearance is computed today, not tracked on a spreadsheet. This section describes what is being built on top of that foundation: a lifecycle, not just a stored date.
Auto-invalidating expiry (early access)
Building next: the moment a physical’s window closes, clearance drops to red on its own, without anyone remembering to check a calendar or an athletic director running a manual sweep before the season starts. A physician e-signature lane (early access)
The consent record already carries the parent and student acknowledgment. In early access, a separate signature lane is being built for the examining physician or team clinician — distinct from that family acknowledgment — so a physical carries both signatures in one evidence trail instead of a scanned form in a folder. This is being built; it is not claimed as available today.

Game-day photo operations
A shot list for the game-day photographer is generated from the roster: the players, coaches, and staff cleared for photography, with no-photo flags enforced. A student without photo consent does not appear on the shot list and is not tagged in any game-day media. The consent substrate is the gate; there is no opt-in override a photographer can bypass. This module is in early access.
Media and tagging without face recognition
Game-day photos are tagged to students from the roster, using the same roster-lookup flow the rest of the platform uses for event photography. There is no face recognition anywhere in the tagging path: a photographer or coach reviews and confirms each tag from the roster list. Face recognition on minors is not a feature, and the platform does not collect biometric data.
Gate and ticketing (honest-off)
The gate and ticketing module — selling game entry, scanning QR codes at the gate, managing capacity for a gym or stadium — is in active development and is honest-off until it is ready. Results and stats
Game results and per-player statistics are recorded post-game and held in the platform’s athletic record. A student’s stats are part of their private athletic record — visible to coaches and athletic directors with the right permission, and to the student and their family. They are not a public-facing profile and are not shared without explicit authorization. This module is in early access.
Sideline emergency medical card
A consent-gated emergency card for the coach at the field, built on the same roster and consent substrate as the rest of Athletic — fail-closed by consent, and not a claim that reminders go out to families today. This is in early access.
What the card holds (early access)
A sideline emergency medical card — emergency contacts, allergies, medications, and known conditions, pulled from the roster and consent record a coach can reference at the field — is in early access, built on top of the roster and consent substrate that is live today. It is not a separate app and not a separate data entry: the card is a view onto the same medical and emergency-contact fields already held on the roster.
Fail-closed by consent
The card is governed by the same consent substrate as the rest of the roster: if a family has not authorized emergency-medical visibility for a field, that field does not render on the card, full stop. No consent, no data on the card — there is no default-open fallback and no coach override.
Not a delivery promise
The card is a lookup a coach opens; it is not a promise that Athletic sends reminders to parents about missing or expiring forms. An automated nudge to families is a separate piece of work and is not claimed as built or wired here — this page does not describe a reminder engine because one is not running today.
Who runs Athletic: director, coach, registrar
Three roles touch eligibility, and Athletic gives each of them the view they need — and only the view they are allowed. The registrar posts the grade, the engine computes the standing, the athletic director owns the clearance, and the coach sees who can play without ever seeing why they cannot.
Athletic director
You spend too much time checking eligibility by hand, chasing consent forms, and coordinating game-day operations across disconnected tools. Athletic gives you one screen for eligibility status, roster clearance, and game-day operations, all computed from the same data the rest of the school uses. When an athlete’s standing changes, you see it, you see the rule that produced it, and you have the audit trail if anyone disputes it.
Coach
You need to know which players are cleared to compete this week, who has updated emergency-contact information, and who has photo consent. The clearance status is visible in the roster and computed automatically — you do not have to ask the athletic director whether a player is eligible, and you never see the academic record behind an ineligibility. The system tells you cleared or not; the reason stays where it belongs.
Registrar
You post grades and close marking periods once, in the real grade record, and eligibility follows. You are never asked to re-enter a GPA into a separate athletic system or to reconcile two databases. A transfer student’s eligibility window is computed from the transfer date you record, and every determination is logged against the grade snapshot it read — so the athletic record and the academic record never drift apart.
Athletic is built on the Homeroom platform. A school already using Homeroom for grades, attendance, enrollment, and scheduling does not add a separate athletic system with a separate login and a separate data model — Athletic is the athletic-program face of the same platform, sharing the grade record, the consent substrate, and the student directory the rest of the school already uses.
No public roster of minors
Athletic is the private operations layer of a school athletic program, and it stays private by construction. There is no public roster of minors: Athletic never publishes a directory of student-athletes, never posts public rankings, and never builds a recruiting index or an algorithmic popularity score attached to a child. A student’s eligibility record, participation clearance, game statistics, and health information are private — visible only to the people the consent substrate authorizes, never public, and never sold.

The claim is not that no data exists; it is that a minor’s athletic and academic data is private, never public, never sold, consent-governed, and withdrawable.

Common questions
Can we set our own GPA floor?
Yes. The eligibility floor is configured per program: minimum GPA, minimum credits, and the absence limit your state or conference requires. Athletic computes each athlete’s status against that configuration deterministically, and the athletic director can see the exact rule that produced a status. A conference with a stricter floor and a program on a different standard are two configurations, not two products.
How does transfer eligibility work?
A transfer student’s eligibility window is computed from the transfer date you record, not re-set as if they were a brand-new student. Because the athlete has one roster record shared across the sports they play, their eligibility, consent, and medical information move with them — you do not re-enter anything sport by sport, and the determination is logged against the grade snapshot it read.
Is there a public roster of our athletes?
No. There is no public roster of minors, no public rankings, and no recruiting index. Athletic is the private operations layer of the program: eligibility, clearance, health data, and stats are visible only to the people the consent substrate authorizes, never published, and never sold.
